School attendance management system & app

Teachers mark daily or period-wise attendance from their phone, parents get a push notification the moment their child is marked absent, and the office sees class, section and student reports without collecting a single paper register. NovaClassHub also handles QR attendance and leave requests for students and staff.

Attendance is the one record every school keeps every single day. It decides who gets a phone call home, feeds into report cards and eligibility rules, and is often the first thing an inspector or parent asks about. Yet in many schools it still lives in paper registers that are totaled by hand at the end of the month. A school attendance management system moves that daily routine onto the teacher's phone and makes the data useful the same morning.

What a school attendance management system does

At its simplest, student attendance software replaces the register. Each teacher opens their class on a phone or computer, marks who is present and who is absent, and submits. The difference is what happens next: the record is saved centrally the instant it is submitted, parents of absent students can be notified straight away, and the office can see which classes have not yet been marked. Over weeks and months, the same data becomes reports by class, section and student, so patterns of absence are visible long before they become a problem.

A good system also covers the edges of attendance that paper handles badly: leave requested in advance, period-wise attendance for secondary classes where students move between teachers, and staff attendance and leave alongside students.

The problem with paper registers and spreadsheets

Paper registers work until someone needs the information quickly. A parent calls to ask whether their child arrived; the register is in a classroom on the second floor. The principal wants a list of students below the required attendance; someone spends an afternoon counting ticks. A spreadsheet is only a little better, because it depends on a teacher typing it up later, and "later" often means Friday.

How digital attendance works, step by step

  1. Set up classes once. Import your student list, sections and timetable. Attendance follows the same student records your school already uses for exams and fees.
  2. Teachers mark attendance in the app. The class list opens with every student on it, and the teacher marks each one present or absent. For period-wise attendance, each subject teacher marks their own period.
  3. Or students scan in with QR. For events, assemblies or classes where it is faster, QR attendance lets students be marked by scanning a code.
  4. Parents are alerted about absences. When a student is marked absent, the parent receives a push notification on the parent app, so a missing child is noticed early.
  5. Leave is approved in the same system. Parents submit leave requests from the app; the class teacher or administrator approves them, and approved leave shows up correctly in the record instead of as an unexplained absence.
  6. Reports are ready when you need them. The office pulls attendance by class, section or individual student for any date range, without waiting for registers to be totaled.

What to look for in a school attendance app

Most products can record present and absent. The differences show up in daily use, so it helps to check these points during a demo or trial. Our guide on how to choose school management software covers the wider evaluation.

How NovaClassHub handles attendance

NovaClassHub is a full school ERP, and attendance is built into it rather than bolted on. The same student record drives attendance, exams, fees and transport, so a new admission appears on the class list the moment they are added.

Teacher app markingDaily and period-wise attendance marked from the native iOS and Android teacher app, or from the staff web dashboard.
QR attendanceQuick QR-based marking for situations where scanning is faster than calling a roll.
Absence alertsParents receive push notifications when their child is marked absent, and can see the full attendance history in the parent app.
Leave requestsStudents and staff request leave in the app; approvers accept or decline, and the result flows into attendance.
Attendance reportsReports per class, section and student for any period, available to the roles you allow.
Multi-branchEach branch keeps its own attendance data, while group leadership can view across campuses.

Attendance also connects to the rest of the parent experience. In the parent app, families see attendance next to results and fees, and on days the bus is running they can follow it live through school bus tracking. For younger children, the preschool app combines check-in with daily updates; our preschool daily report template shows what parents expect to see.

Because NovaClassHub is cloud-hosted, there is nothing to install in school. Send us your student list and we handle the data import for free, so teachers can start marking attendance on day one of the trial.

Frequently asked questions

What is a school attendance management system?

A school attendance management system replaces paper registers with digital attendance. Teachers mark students present or absent from an app, the record is saved centrally straight away, parents can be alerted about absences, and the office gets attendance reports by class, section and student without totaling registers by hand.

Can teachers take attendance from their phone?

Yes. In NovaClassHub, teachers mark daily or period-wise attendance from the native iOS and Android teacher app, or from the staff web dashboard. QR attendance is also available for situations where scanning a code is faster than calling a roll.

Are parents notified when their child is absent?

Yes. When a student is marked absent, the parent receives a push notification on the NovaClassHub parent app. Parents can also see their child's attendance history in the app and submit leave requests in advance.

Does it handle staff attendance and leave as well?

Yes. Leave requests and approvals work for both students and staff. Staff submit leave in the app, the approver accepts or declines it, and the outcome is reflected in attendance records and reports.

How long does it take to get started?

NovaClassHub is cloud-hosted, so there is nothing to install. We import your existing student and staff data for free, and you can try it with a 14-day free trial that needs no credit card.
